Placement Fees & Client Terms

At Montana Luxury Estate Staffing, we believe the placement process should be clear and straightforward from the beginning. Below you’ll find an overview of our placement options, fees, replacement policy, and important terms for working with our agency.

A formal Service Agreement containing the complete terms of your search will be provided for review and signature before we begin.

Placement Options

Long-Term Placement
Positions with an anticipated duration of 3 months or longer.

Short-Term Placement
Temporary or seasonal positions with an anticipated duration of 1–3 months.

Engagement Fee

A non-refundable $500 Engagement Fee and signed Service Agreement are required before your search begins.

The Engagement Fee reflects the time, resources, and expertise involved in understanding your household’s staffing needs and beginning the process of sourcing, screening, interviewing, and presenting qualified candidates.

When a successful hire is made, the full $500 Engagement Fee is credited toward your final Placement Fee.

Placement Fees

Long-Term Placements

The Placement Fee for a long-term position is 15% of the candidate’s agreed-upon annual gross compensation.

The Placement Fee becomes due when the candidate accepts the position, whether verbally or in writing.

Short-Term Placements

The Placement Fee for a short-term or temporary position is 25% of the candidate’s total agreed-upon compensation for the assignment.

The Placement Fee becomes due when the candidate accepts the assignment.

All Placement Fees are non-refundable.

What Constitutes a Successful Hire?

A successful hire occurs when a client extends an offer to a candidate introduced by Montana Luxury Estate Staffing and the candidate accepts the position, whether verbally or in writing.

Our Placement Fee also applies if a candidate introduced by Montana Luxury Estate Staffing is subsequently hired or engaged, directly or indirectly, by the Client, or is referred by the Client and subsequently hired by a related individual, family member, household entity, affiliated business, or other third party within 12 months of the Agency’s introduction.

Long-Term Placement Replacement Policy

If a candidate placed in a long-term position voluntarily resigns or is terminated without cause by the Client within 30 days of their start date, Montana Luxury Estate Staffing will conduct a search for one replacement candidate at no additional Placement Fee.

The replacement guarantee does not apply when:

  • The candidate is terminated for documented performance or conduct issues.

  • The position’s responsibilities, compensation, schedule, or working conditions materially differ from those presented during the original search.

  • The Client does not provide timely feedback or reasonable cooperation during the replacement search.

Our Candidate Standards

We are committed to representing experienced household professionals with strong backgrounds in their respective fields and excellent references.

Our candidates are carefully screened, with references verified as part of our vetting process. We seek professionals who demonstrate the experience, discretion, reliability, and service standards required to work successfully within private households, estates, ranches, and seasonal residences.

Our role extends beyond matching qualifications on paper. We aim to identify candidates whose professional experience, expectations, and working style align with the individual needs and lifestyle of each household.

While we take care throughout the screening and placement process, Montana Luxury Estate Staffing cannot guarantee a candidate’s future performance, compatibility, or length of employment.

Candidate Screening

For candidates selected for hire, Montana Luxury Estate Staffing coordinates background screening as part of the placement process. Depending on the position, screening may include a nationwide criminal records search, nationwide sex and violent offender registry search, and, for positions involving driving, a motor vehicle record check for license validity.

Background screening is conducted through third-party providers and may be subject to limitations in scope, reporting periods, and applicable law. Montana Luxury Estate Staffing does not warrant the accuracy or completeness of third-party screening reports.

The final hiring decision remains with the Client, who is responsible for reviewing the information provided and determining whether to proceed with employment.

Where applicable laws affect the timing of background screening, an offer of employment may be made conditional upon satisfactory references, background screening, and any additional checks required by the Client.

Your Responsibilities as a Household Employer

Montana Luxury Estate Staffing acts solely as a placement agency and is not the employer of record. We introduce qualified candidates for your consideration, while the final hiring decision and resulting employment relationship remain directly between you and the professional you hire.

Montana Luxury Estate Staffing does not set or control an employee's wages, hours, schedule, benefits, or working conditions. These terms are established directly between the Client and employee.

Once a candidate is hired, the Client is responsible for complying with all applicable requirements associated with household employment, including wages and benefits, employment laws, payroll and tax reporting, workers' compensation requirements, appropriate insurance coverage, and other employer obligations.

We encourage clients to seek appropriate legal, tax, payroll, or insurance guidance where needed.

Employment Agreements

We strongly recommend establishing a formal written employment agreement with your new household employee. A clear agreement helps both the employer and employee begin the relationship with a shared understanding of the position and its expectations.

Depending on the role, an employment agreement may address:

  • Position title and scope of responsibilities

  • Job duties and performance expectations

  • Work schedule and required availability

  • Compensation and salary terms

  • Paid time off and holiday policies

  • Benefits

  • Employer and employee expectations

  • Confidentiality and privacy expectations

  • Any additional household-specific requirements or agreements

Confidentiality & Candidate Information

Protecting the privacy of our clients and candidates is an important part of our placement process.

All information shared between Montana Luxury Estate Staffing, the Client, and prospective candidates is considered confidential. Candidate profiles, résumés, references, contact information, and other personal information may not be shared with or disclosed to a third party without the Agency’s prior written consent.

Attempting to contact, hire, or otherwise engage a candidate outside of the Agency’s placement process for the purpose of avoiding applicable Placement Fees constitutes a breach of the Agency’s terms.

Submitting a Staffing Inquiry

Submitting a service inquiry to Montana Luxury Estate Staffing is an expression of interest only. It does not obligate you to proceed with a search, require the Agency to provide staffing services, or guarantee the placement of a candidate.

All inquiries are reviewed before a search is accepted. Montana Luxury Estate Staffing reserves the right to decline a search that falls outside our areas of expertise, does not align with our professional standards, or does not provide sufficient information to conduct an effective search.

If we determine that we are a good fit to work together, you will receive a formal Service Agreement outlining the complete scope of services, placement fees, payment terms, replacement provisions, and applicable policies. The agreement must be signed and the $500 Engagement Fee paid before the search begins.
